Key Responsibilities & Job Description

The selected candidate will assist in day-to-day administrative and coordination activities of ICMS, SSL, International House (I-House), and School of Advanced Materials (SAMat).

1. Academic & Statutory Coordination

  • Coordinate academic and statutory meetings.
  • Prepare meeting notices, agendas, and minutes.
  • Follow up on action items and decisions.
  • Maintain meeting records and documentation.

2. Administrative & Logistical Support

  • Provide administrative and logistical support for visiting faculty and students.
  • Organize seminars, lectures, conferences, and academic programs.
  • Support PGDMS and the Annual International Winter School.
  • Handle event coordination, venue booking, catering, and material arrangements.

3. Recruitment & Documentation

  • Assist in recruitment-related documentation and processing.
  • Prepare academic reports and submissions.
  • Process recruitment and administrative forms.
  • Maintain candidate documentation and records.

4. Financial & Procurement Support

  • Assist in procurement processing and vendor coordination.
  • Coordinate billing and invoice processing.
  • Maintain financial records and documentation.
  • Follow up on payments and claims.

5. Project Documentation & Research Support

  • Maintain project documentation and reports related to SSL.
  • Organize sponsored research activity records.
  • Manage files for ongoing and completed projects.
  • Support researchers with administrative requirements.

6. Guesthouse (I-House) Operations Support

  • Support I-House operations, including bookings and reservations.
  • Assist with guesthouse billing and coordination.
  • Coordinate services for visiting guests and researchers.
  • Maintain I-House records and guest registers.

7. Additional Support

  • Provide secretarial and administrative assistance for SAMat activities.
  • Assist with publication coordination and conference submissions.
  • Support office correspondence and communication.
  • Perform general clerical work including data entry, typing, and document preparation.
  • Any other work assigned by the Competent Authority.
